Planning an Event

  1. Determine the type of event
  2. Start planning at least 3 months in advance
  3. Determine objectives/goal
    How many people do you expect?
  4. Set a budget
    How much can you spend?
  5. Chose possible dates & locations for the event
    What is the room capacity?
  6. Establish steps in the planning process
  7. Set a date for each step to be completed by
    Create a timeline
    Confirm all dates/performers/sponsors
  8. Indicate who will be responsible for each step
  9. List of materials that will be needed for the event
    Decorations
    Signage
    Promotional material (brochures, invitations, etc.)
  10. Develop ways to evaluate events success & analyze the results

Don't forget to document all of your work (ex. Work plan, contacts, price list... etc.) and save it in a folder so that future planners can reference it. If possible, video tape or take pictures of the event.
